Front Desk Receptionist [Philippines]


 

As EXECUTIVE ASSISTANT

  • Makes appointment for EXECOM members (President and CEO, Chief Technology Officer, and Chief Admin Officer.
  • Managing EXECOM calendars and set up meetings.
  • Prepares cash advance, liquidations, reimbursements for EXECOM.
  • Prepares the weekly MANCOM minutes of the meeting.
  • Arrange travel accommodations of EXECOM or other employees as instructed.
  • Organizes and maintains important and highly confidential files/records.
  • Perform other job-related duties as requested or assigned by the EXECOM.

As RECEPTIONIST

  • Serves visitors by greeting, welcoming, and directing them appropriately.
  • Notifies company personnel of visitor arrival.
  • Informs visitors by answering or referring inquiries.
  • Screen and direct phone calls and distribute correspondence
  • Receive and properly record all cash, checks or items from clients, customers, or suppliers.
  • Receive and deliver mail to appropriate department or employees.
  • Coordinate the UAS employee approved travel arrangements and arrange hotel accommodations.
  • Manage the conference room reservations.
  • Manage and monitors the office and cleaning supplies inventory.
  • ADHOC Duties
  • Assists Facility and Safety Manager in processing the required business and license permits.
  • Will assist in recruitment activities during ramp.
  • Responsible for required government reports.
  • Assists in implementation of UAS projects.
  • Assists in UAS events.

Other qualifications and requirements:

  • 1-3 years’ experience working in a similar position, providing administrative support at an executive level.
  • Candidate must possess at least Bachelor's/College Degree in any field.
  • With a pleasing personality.
  • Good verbal and written communication skills.
  • Coordination, logistical skills, and experience.
  • Good time-management skills
  • Ability to make decisions without close supervision, and must be accurate, efficient, and capable of handling detailed work assignments.
  • Ability to maintain self-control and complete tasks with frequent interruptions.
  • Proven ability to work independently and self-motivated but also a team player.
  • Proficiency in MS Office

Job Type: Fixed term

Schedule:

  • 8 hour shift
  • Day shift
  • Monday to Friday

Ability to commute/relocate:

  • Pasig City: Reliably commute or planning to relocate before starting work (Required)

Experience:

  • Executive Assistant: 1 year (Required)
